Who has the spare key? Ask around, and everyone is sure someone else had it last. Company laptops and tools change hands often, and after a few months nobody knows for certain. The same goes for software licences that may or may not still be assigned to someone. AMPthilly keeps one record per item, with its current owner and every past handover. Besides office IT, it covers tool and vehicle handouts in trades and workshops.

Each item gets a printable QR label that opens its record in the browser when scanned with an ordinary phone camera. From there, people can hand the item over or report a fault with photos. Employees can also ask for equipment themselves, and the request goes to their department manager for approval. Fault reports go to a service desk, where each ticket stays attached to the item.

Software licences and subscriptions sit in the same register as physical items, with renewal dates and vendor details. An existing spreadsheet comes in through a CSV import, and a CSV export covers finance reports or a later move to another tool.

Good fit if you…

  • lend tools or devices to contractors or clients and want to see what came back, and in what condition
  • equip new staff and want to check out a whole kit to one person at once
