The driver ticked "brake light broken" on the morning checklist. The mechanics hear about it a week later, if at all. On paper, a fault from the daily vehicle check can stay on the clipboard and never become a repair job. FleetRabbit AI moves that check to the driver's phone, where each item is passed or marked as a defect with photos and an electronic signature. Each logged defect opens a work order for the mechanics. Inspections save offline and sync once the phone has signal.

Department of Transportation inspectors in the US can ask to see these reports, known there as DVIRs, during an audit. FleetRabbit stores the signed reports next to the driver files and warns before a driver's medical card or licence runs out. Software agents also watch the fleet data: they book an oil change when a truck nears its service mileage and order parts when stock runs low.

Mileage and engine fault codes can come in from telematics boxes, the trackers built into many trucks, so service plans follow the real odometer. Larger operators can link company-wide business software (ERP) from SAP, Oracle or Microsoft, which keeps the main records while FleetRabbit handles the workshop side.
